AutogenAI doesn't just store your files - it transforms them into smart, searchable data you can use in your bids and proposals. Whether you're uploading PDFs, scanned files, charts, or entire folders, the platform processes each document behind the scenes to make the content useful across the system.
This guide explains how document processing works and how to optimise your uploads.
Uploading files
To upload files:
- Go to your Document Library and click '+ Add New' or drag and drop files into the window.
- Click 'Start Upload', then 'Close' once the upload is complete.
- Your document will continue processing in the background and will be available once complete.
What to do if a file fails to upload
If something goes wrong during upload, you can quickly check what went wrong.
How to check the issue:
- Go to your 'Document Library' and find the file.
- Look at the 'Status' column - if it shows 'failure', hover over it.
- A message will appear explaining the issue (e.g. unsupported file type, corrupted format, etc.).
- From there, you can fix the issue and re-upload, or contact our Support team for help.
Uploading scanned documents or embedded images
AutogenAI uses OCR (Optical Character Recognition) to read text within images. This means scanned PDFs or Word documents with screenshots or embedded charts can still be made searchable.
How to upload scanned or image-based files:
- Upload the file to your Document Library in PDF or DOCX format.
- The system will automatically detect and convert any image-based text into searchable content.
- This allows our Library AI to find and reuse that content across proposals, even if it started out as a screenshot or scan.
Uploading image files directly
If you have images (such as charts or infographics) you'd like to use in proposals, you can upload them directly into your library.
Supported file types:
- GIF, JPG, JPEG, PNG, WEBP
- DOCX and PowerPoint files with embedded images
Important note: This feature is not available via SharePoint sync. Image files must be uploaded directly to the AutogenAI platform.
Once uploaded, the system processes the image so the Research Assistant and other AI tools within AutogenAI can reference them in your proposal content.
What you can do with uploaded images
Once processed, image content becomes searchable and usable across AutogenAI:
- Use the Research Assistant to ask questions about the image content (e.g. “What does this chart show?”).
- Use the Expand prompt in the Editor to generate text descriptions from charts or visuals.
- View the source image alongside AI-generated responses for full context.

What file types can I upload?
We support PDF, DOC, DOCX, TXT, PPT, PPTX, XLS, CSV, and common image formats such as PNG, JPG, GIF.
How big can my files be?
The maximum upload size is 2GB per file or folder. For large volumes, upload in smaller batches.
Why can’t I upload image files from SharePoint?
Image processing is disabled for files uploaded via SharePoint to reduce system load and prevent unnecessary uploads. If you need help processing a specific folder, contact support.
Do all users have access to image processing?
Yes — image processing is available to all users as long as files are uploaded directly into AutogenAI (not via Sharepoint).
