The new experience
What's changed in the new design?
It's the same AutogenAI — the same research, writing tools and library — with a tidier layout that gets you to a strong draft faster. The main changes: your bid is organized into 3 phases (Pre-Proposal, Prepare & Plan, Write); projects open with a set-up wizard that builds your outline for you; "My Drafts" is now "Workspace"; your libraries live in the "Knowledge Hub"; and the writing tools sit in one panel on the right.
My screen looks different — where did things move?
A quick guide to where familiar things now live:
- My Drafts → Workspace (in the left-hand navigation).
- Library → Knowledge Hub (organization-wide) and Project Library (per project).
- Writing transformations → the right-hand Write panel in the Editor (or highlight text → dropdown).
- Choosing a questions/requirements workflow → now detected automatically from your document.
- The sources behind text → the Sources panel on the right-hand navigation.
- Saved prompts → Knowledge Hub → Saved Prompts.
Where do I see the sources used for the generated text?
Open the Sources panel from the icons on the right-hand navigation while you're in a document. Read sources are everything the AI looked at; cited sources are the ones it actually used to build the text.
Do I still choose a questions or requirements workflow at the start?
No — the platform detects which applies from your uploaded document and builds the outline accordingly. If it ever reads a document the wrong way, let your Customer Success contact know.
Where are my private documents now?
In your Workspace (previously "My Drafts") — open it from the left-hand navigation. Start a new one with "New document" on the home page.
Where do I start?
Create a project and take one opportunity through end to end. Getting started with AutogenAI walks that route.
Do I have to use the 3 phases in order?
No. For a bid already in flight, skip Pre-Proposal and Prepare & Plan and go straight to Write.
Can we rename the phases to match our process?
Yes, in Project Admin. Same workflow, your words.
Pre-Proposal activities
Do I have to run these?
No, the stage is optional. Run what helps this bid and skip the rest.
Is there a best order?
There's a recommended one — broadly: understand the opportunity, then the competition, then what sets you apart, then teaming, then the bid/no-bid decision, with the Capture Plan pulling it together. It's a guide, not a rule. Each activity flags which earlier outputs it would like, and works without them.
How do I make one activity build on another?
Once generated, an activity is saved into the Project Library and can be selected as a source for the next one. Remember to tick the earlier outputs when you set the next activity up.
These are for capture teams. Is there anything in them for bid managers?
Plenty. Many teams have no dedicated capture function, so bid managers do this work anyway. And if you join a bid late, all of it is already in the Project Library waiting for you rather than sitting in someone's inbox.
What's the box at the end of the setup for?
Anything that should be treated as the final word — the latest facts, corrections, decisions your documents don't spell out. It's the single most valuable field in the flow. A line like "we are not partnering with X on this bid" changes the whole output.
Something in the output is a placeholder rather than an answer.
That's deliberate. Where the evidence isn't in the material you've provided, you get a note telling you what to go and find, rather than an invented answer. Treat those as a to-do list.
Signing in and access
Why can't I log in?
Go to your organization's AutogenAI web address and check you're using the exact email your account was set up with. If you use single sign-on (SSO), choose "Sign in with SSO"; if you use a password, use "Forgot password" to reset it. A private or incognito window is a quick way to rule out a saved session.
I use SSO and get "access denied" or a login loop.
Your access is set up by your organization's admin. Ask them to confirm your account is provisioned, then sign out, sign back in, and try again.
The site won't load on my network.
Your IT team may need to allow the AutogenAI web address on your network.
Users and licenses
How do I add a user?
In Organization / User Management, invite the user by email and assign their role and a license. Ask them to check for the invitation email (including spam) and activate their account.
A new user can't sign in.
Check the email matches your single sign-on (if you use it) and that they've activated the invitation. If their work email has changed, contact Support rather than creating a second account.
"No licenses available" when I try to add someone.
Free a seat by deactivating an account that's no longer needed, or contact your Account Manager or Support to add more.
What can each role do?
Broadly: Author — create and own projects and generate content; Reviewer — view and comment; Document Manager — manage shared library content; Admin — manage users, licenses and settings. A person needs both a role and a license.
Getting features switched on
How do I get a feature switched on?
Some features are enabled per organization. Check with your admin or Account Manager whether it's on your plan, then contact Support with your organization name and the feature you'd like.
A feature I expected isn't showing.
After a feature is switched on, refresh or sign out and back in. If it's still missing, it may not be on your plan — your Account Manager can confirm.
Documents, libraries and files
What files can I upload, and how big?
Common types — PDF, Word, Excel, PowerPoint, CSV, TXT and more — up to 2 GB per file. Wait for each to show "File ready" before using it.
My file won't upload or is stuck processing.
Check it's a supported type within 2 GB. Very large or table-heavy files can struggle — split them into smaller parts and upload those. Scanned or photo-only PDFs can't be read, so use a text version. Wait for the green "File ready" tick before moving on.
What's the difference between the Project Library and the Knowledge Hub?
The Knowledge Hub is your organization-wide, reusable content. A Project Library belongs to one bid — the RFP pack and anything you generate for it — and doesn't sync back to your central library or SharePoint.
How do I bring in SharePoint documents?
Connect SharePoint from the Knowledge Hub (your IT admin may need to approve it the first time), then select the sites or folders to sync. Your SharePoint content stays selectable as a source when you write.
Which documents should I upload when I create a project?
Only the document or documents containing the questions or requirements you're responding to. Not the whole RFP pack — that muddles the outline. Schedules, addenda and reference material go into the Project Library instead.
The buyer has issued a revised RFP. Can I re-analyze it?
There's no amendment flow yet. Re-uploading effectively starts your outline from scratch, and you can't delete the original RFP from the Project Library because the activities depend on it. For now, either start a fresh project, or use the assistant to pull out the differences and feed those into your documents.
Can I link a Knowledge Hub library into a project?
Public libraries, yes. Private ones are excluded, by their nature.
Who can see what inside a project?
Everyone on the project can see its library. Who can write and who can generate documents is set in Project Admin.
End-to-end projects
What has changed about Projects?
The whole project experience has been redesigned. Projects now have a new overview section with editable fields, giving a clear view of the entire proposal. The redesign also introduces a Workflow Detector that automatically analyzes uploaded RFPs, a new Create a Project Wizard, a redesigned Project Hub, structured stage pages guiding teams from pre-proposal to submission, a redesigned Document Editor within projects, and a unified Project Library and Knowledge Hub that replaces the Project Library tab.
What does the Workflow Detector do?
When you upload an RFP, the Workflow Detector automatically analyzes it and extracts the proposal summary, scope, outline, deadlines, evaluation criteria, and other key details, so your team can start working without manually reading through the full document first.
What has replaced the Resources tab?
The Project Library and Knowledge Hub. This combines project sources, uploaded files, and your organization's Knowledge Hub content in one place inside every project, so writers always have the right content to hand without leaving the project.
What has changed in the Document Editor within Projects?
It's been redesigned to give more space to the document itself, with a reorganized right-hand panel and a persistent Proposal Assistant offering pre-prompted suggestions to support writers throughout drafting.
Writing and generating your response
How do I generate a first draft?
Approve your master response outline, open a section, steer it in the Storyboard (requirements, evaluation criteria and win themes), then select "Generate first draft." It typically takes one to five minutes and runs in the background.
A generation is slow or failed.
Refresh and try again — clearing your cache often helps. For large tenders, generate section by section. At busy times, deeper research takes a little longer.
What's the difference between the Assistant and Ask AI?
The Assistant is a chat alongside your draft — one answer at a time, which you copy in where you want it. Ask AI works on selected text and returns 3 options to drop straight into your draft.
How do I get a better first draft?
The clearer the Storyboard, the better the draft — attach the exact requirements and evaluation criteria, add your win themes, and put your most important instructions in "Key Context and Notes" (they outrank other evidence). Narrowing your Source Providers to the most relevant folder also sharpens the result.
Can I edit the Prepare & Plan documents?
Yes, while you're still in that phase. Once the response outline and storyboards are generated they lock, so that the sections built from them don't fall out of step. Make corrections early.
If I set win themes during Pre-Proposal, do they flow into each storyboard?
Not automatically — add them to the storyboard yourself for now. Set your win themes during Prepare & Plan, before you generate first drafts, so they shape every section.
Everything I get back is generic.
Narrow your sources. Pointing at a single project folder pulls real, evidenced detail; pointing at everything gets you generic copy. It also helps to phrase evidence prompts in the past tense — "what we delivered at [project]" — so the answer stays grounded in what actually happened.
Do I have to set my sources every time?
Yes. Source Providers are set at the point of use and don't carry over between sessions, or between the assistant and Ask AI.
Someone's edits have made a mess of a section.
Editor → Document history → roll back to an earlier version. You can also see who changed what and when.
Exporting your proposal
How do I export to Word or Adobe InDesign?
From the master response outline, use Quick Export for a Word document, or Export using template to keep your house style — a templated Word document, or Adobe InDesign (.idml) for design-led submissions. Open and check the file before sharing.
Integrations and data sources
What integrations are now available?
The Highspot MCP integration is live. A unified MCP Settings page has also shipped, letting admins enable or disable individual integrations from a central location, with inline consent prompts for tool calls. Salesforce MCP, Google Workspace MCP, and PowerPoint MCP are in discovery and validation, as is Arcade MCP, which will enable access to approximately 95 third-party integration sources.
How does the MCP Settings page work?
Admins use a central settings page to switch individual integrations on or off. When a tool call involves a connected integration, an inline consent prompt is shown to the user at the point of use.
Is Salesforce integration available yet?
Not yet. Salesforce, via the Arcade MCP integration, is in discovery and validation, and may not be available to all customers as the integration develops. Your Customer Success Manager will update you on availability as it progresses.
What does connecting integrations mean for my writers?
Once an admin enables an integration, writers can pull in content from connected systems — case studies, credentials, or CRM data — directly inside the platform, without leaving the proposal or manually uploading files.
Performance and browsers
AutogenAI feels slow.
Refresh and, if needed, clear your cache and cookies; try a different supported browser; work in smaller pieces for large tasks; and close unused browser tabs. Check the status page in case there's a wider incident.
Which browsers are supported, and how do I clear my cache?
Use an up-to-date version of Google Chrome or Microsoft Edge. Clear your cache and cookies from your browser settings, allow pop-ups for the AutogenAI site, then close and reopen the browser. A private or incognito window is a quick way to test a cached-session problem.
Getting help and giving feedback
How do I report an issue?
Check the AutogenAI status page first in case it's already known, then email support@autogenai.com with: your organization name and login email; what you were doing and the exact message you saw (a screenshot helps); the project link if it relates to a project; and the date, time and browser.
How do I request a feature or share feedback?
The recommended approach is to contact Support with your organization name and the feature you'd like, or share your idea the same way — it goes to the product team. Describe what you're trying to achieve, not just the feature name, so Support can help.
