Q&A Workbooks help proposal teams work through pre-qualification questionnaires (PQQs), RFPs, due diligence questionnaires (DDQs), and other lengthy questionnaires faster by using AI to match incoming questions against your organization's Q&A Database and suggest answers automatically.
This article covers creating a workbook, adding questions, autofilling and reviewing answers, and exporting your finished workbook.
Before you start
- Workbooks pull suggested answers from your organization's Q&A Database. The more complete and well-tagged your Q&A Database is, the better your autofill results will be.
- Anyone can create and work in a workbook; editing the underlying Q&A Database itself requires Document Manager permissions.
Create a workbook
- Navigate to the Drafts workspace, or open a project.
- Select Q&A Workbooks.
- Select + Workbook to open a new, blank workbook.
Add questions to a workbook
You can add questions manually or import them in bulk.
Add a question manually
- Select + Add Question.
- Select the Question field and type or paste in your question.
- Repeat by selecting + Add Question again for each additional question. Entries are autosaved as you type.
Import questions from a file
- You can import questions in bulk from a CSV file rather than adding them one at a time.
- The file must include the columns
number,question, andanswer. - If the import fails with a "required columns not found" error, check that your file uses these exact column headers and try again.
Autofill answers
- Select Autofill Answers to have AI match the questions in your workbook against entries in the Q&A Database.
- Where a match is found, the Answer field populates automatically, along with a confidence indicator: High, Medium, Low, or No Answer.
- Review each suggested answer — confidence levels are a guide, not a guarantee of accuracy, so check suggested answers against your source material before relying on them.
Review and approve answers
- Select the Answer field for any question to edit the text manually.
- Once you're satisfied with an answer, select the Approved checkbox to mark it as complete.
Delete an entry
- Select the Actions (three-dot) menu next to the entry.
- Select Delete Entry.
Export your workbook
- Select Download to export your Q&A Workbook to Excel.
- Open the exported file from your downloads folder.
Rename a workbook
- Select the file name field at the top of the workbook.
- Type the new name. This is saved automatically.
Your workbook remains available in the drafts or project workspace for further editing at any time.
Known limitations
- Autofill and answer-matching are based on your Q&A Database content and confidence scoring; results should always be reviewed before submission.
