Setup, permissions and IT guide for Microsoft Word

The AutogenAI Word add-in lets your proposal writers access AutogenAI's AI capabilities directly inside Microsoft Word, without switching applications. Deployment is quick — typically 15–20 minutes for your IT team — via Microsoft 365 Centralized Deployment.

How it works

The add-in is a standard Microsoft Office Add-in built on Microsoft's official extensibility platform. It adds an AutogenAI icon to the Word ribbon and a task pane (side panel) that renders the AutogenAI application inside Word.

The task pane is a web view — it loads the same AutogenAI application your team already uses in the browser, using the same servers, authentication, and security controls. No new infrastructure or data stores are created. Users sign in with their existing AutogenAI credentials, and your organization's existing SSO configuration applies if configured.

Deployment steps (for your IT team)

The add-in is deployed via Microsoft 365 Centralized Deployment — Microsoft's standard mechanism for distributing Office Add-ins across an organization.

1. Sign in to the Microsoft 365 admin center (admin.microsoft.com)
2. Navigate to Settings → Integrated apps → Add-ins
3. Select Deploy Add-in → "I have the URL for the manifest file"
4. Enter the manifest URL: https://[your-env].autogenai.com/plugins/office/manifest.xml
5. Assign to the relevant users or groups
6. Select Deploy

Each customer has a unique manifest URL based on their AutogenAI environment. Confirm your exact environment name and manifest URL with your AutogenAI contact before deploying.

The add-in will appear automatically in Word for all assigned users within 24 hours. No action is required from end users.

Updates and revoking access

• App updates (new features, fixes) are live immediately — Word fetches the application from AutogenAI's servers on every load
• Manifest updates (structural changes) propagate automatically within approximately 24 hours; no manual re-deployment is needed for routine updates
• Access can be revoked at any time by removing the add-in in the admin center — it will stop appearing on users' next Word session

Permissions

ReadWriteDocument is a standard Office add-in permission. It applies only to the document currently open in Word while the add-in is active — it does not access other files, the file system, or any other application.

The add-in does not request access to

• Other Office applications (unless separately deployed)
• SharePoint or OneDrive directly — note it can access SharePoint content already connected to your AutogenAI library via the SharePoint integration
• Email or calendar data
• Any system resources outside the active Word document

If permissions need to be updated in future, this may require IT re-approval in the admin center — AutogenAI will communicate any changes in advance.

Data and security

What data is sent to AutogenAI

When a user interacts with the add-in (for example, asking AutogenAI to help draft a section), the selected or relevant document text is sent to AutogenAI's API — the same handling as when users copy and paste content into AutogenAI in the browser today.

What is not sent

• The full document, unless the user explicitly selects it
• Document metadata, file paths, or SharePoint/OneDrive properties
• Anything passively — transmission only occurs when a user actively invokes an AI feature

Transmission, storage and model training

• All data is transmitted over HTTPS; AutogenAI never transmits data in plain text
• The same data retention policies apply as for the browser application, covered by your existing data processing agreement
• AutogenAI does not use client content to train its models — content is used only to generate the requested output

Scope and supported platforms

This currently covers Microsoft Word only — the add-in is not deployed to PowerPoint, Excel, Outlook, or Teams at this stage.

Frequently asked questions

Does this add-in access any documents beyond the one currently open in Word?

No. ReadWriteDocument applies only to the active document — there is no access to other files, SharePoint libraries, or OneDrive.

Can users install this themselves without IT?

Centralized Deployment via the admin center is recommended, giving IT full control. For individual testing, users can manually install via Insert → Get Add-ins → Upload My Add-in (excluding Mac) and entering the manifest URL.

Does the add-in work offline?

No — it requires an internet connection to reach AutogenAI's servers.

What happens if a user doesn't have an AutogenAI license?

The add-in will load but the user will be prompted to sign in; without a valid license they cannot use AI features. Deployment can be pre-scoped to licensed users only via group assignment.

IT readiness checklist

• Review this guide and raise any questions with your AutogenAI contact
• Confirm network whitelisting requirements are met
• Confirm SSO configuration is in place (if applicable)
• Deploy the add-in via Microsoft 365 admin center using the manifest URL

• Confirm users can see the add-in in Word and sign in successfully
